Meeting Cost Calculator

Calculate the cost of a meeting from attendee salaries or hourly rates. Live money meter, overhead burden, and weekly, monthly, and yearly projections.

Meeting setup

Salaries are interpreted in the currency you pick. Conversion is not applied.

How long the meeting is booked for. Used for the headline cost figure.

Multiplies hourly rates so the total reflects loaded labor cost (benefits, payroll taxes, equipment, real estate). 1.3 is a common US enterprise figure.

The yearly projection assumes 52 weeks and 260 workdays per year.

Attendees

Live numbers use the same loaded hourly cost as the headline figure. Stays accurate even if the tab is hidden because the elapsed time is measured against a clock anchor, not a render counter.

Software EngineerSalary4$93.75$375.00$375.00
Engineering ManagerSalary1$125.00$125.00$125.00

Loaded hourly applies the 1.30x overhead to the entered rate. Group hourly multiplies by the role's count. Meeting subtotal uses the scheduled duration above.

How to use

  1. Pick a currency and a scheduled meeting duration. Use the preset chips (15, 30, 45, 60, 90 minutes) or type any number of minutes.
  2. Set the overhead multiplier (1.30x is a common US enterprise loaded-labor figure) and choose how often the meeting recurs to see weekly, monthly, and yearly projections.
  3. List the attendees by role and count. For each row, choose Annual salary or Hourly rate and enter the figure. Use Add row for more roles, Remove to drop one, and Reset to restore the sample team.
  4. Read the headline cost, the per-minute and per-hour rates, and the recurring projection cards. Use the Breakdown by role table to see which roles drive the cost.
  5. When the meeting starts, tap Start under Live money meter to watch the spend tick upward in real time. Pause and Reset are available without losing the rest of the inputs.

About this tool

Meeting Cost Calculator turns the abstract question "is this meeting worth it?" into a concrete dollar figure. List the attendees by role and count, enter an annual salary or hourly rate for each, pick a scheduled duration, and the headline figure shows the meeting's true cost using an optional overhead multiplier (1.15x to 1.45x) that converts base pay into loaded labor cost (benefits, payroll taxes, equipment, real estate). Salaries are annualized at 2,080 hours per year (40 hours per week times 52 weeks) so the salary-to-hourly math matches the conventional figure HR systems and the US Bureau of Labor Statistics use. A live money meter starts a real-time counter when the meeting begins and shows the dollars the attendee mix is burning second by second, anchored to a wall-clock so accuracy holds even if the browser tab is hidden. Recurrence presets (daily for 260 workdays, weekly, every two weeks, monthly, quarterly) project the annual cost of a standing meeting so a 30-minute weekly all-hands can be priced against an annual budget. The breakdown table shows the loaded hourly rate per role, group hourly, and the meeting subtotal each role contributes. Eight major currencies are available. Everything runs locally in your browser, so salary figures and roster details never leave your device.
